Our client is the largest oil gas company engaged in the down stream exploration in Sindh and Balucistan. They company was facing problems in generating reports form their existing ERP reporting due to the limitation in the reporting capabilities of the software. For complex reporting they had to drag the data out in excel and prepare reports. This process was exposed to errors as the reporting was no in real time basis. Further, the reports were not accessible on the user desk tops and lot of time was spent by the accounts department answering to various internal and external queries.

 

The client wanted to develop a system which should overcome the limitation of the existing ERP reporting capabilities. Further, the relevant reports should be accessible to the managers on their desk top so that hey can get the routine information on their desk rather than calling to the accounts department for repetitive information.

 

AGHAZ flag ship product Report Browser for Sun Accounts was chosen from various options to over come the reporting deficiencies and also to be used as an executive information system. The software was formally vetted by the client IT department head quarter in Italy.

 

For AGHAZ the challenge was to integrate data from various ledgers of the ERP software and to create combined reports. Further, the client requirement was to group the data dynamically as the account grouping was continuously changing based on the requirements from the head office.

 

To start with, a detail analysis was carried out of the existing reports that are prepared and those which need to be developed from a scratch. The formats were defined and finalized. The account grouping and the analysis code structure was analyzed in group discussions with the client. The Report Browser was customized for the client to enable them to group the data themselves in specific reports. Full scale training was carried out to the clients IT staff personals.

 

Today, the client is using the Report Browser for Sun Accounts as the main source of reporting. The reporting includes all the joint venture reporting, billing statements, tax compliance statements, joint venture accounts, budget variance statements, exchange revaluation/translation, partner recharges, aged payables and full fledged invoice tracking system that is integrated with the ERP which track the status of the invoice in 10 different stages. All the concerned departmental heads have the Report Browser installed on to their desk tops and having access to all the relevant reports.

 

The client was able to drastically reduce the management time spent on the preparation of the reports or to get repetitive information from the accounts department. The time saved is now being spent on actually analyzing the report thus making the process more meaningful. The client need not to play with loose data in excel and the reports are always in agreement with the books of accounts as they are generated on real time basis form the ERP software.
